Certificate Agreement
Palindrome Certification applies the procedures detailed within ISO/IEC 17021-1 and ISO/IEC 17065 as well as other normative references governing the audit activities within the scope of certification. An organization’s obligations at the time of application are communicated in the form of a certificate agreement and vendor terms within our master services agreement.
Supplemental details that support certificate decisions concerning granting, refusing, maintaining, renewing, suspending, restoring, or withdrawing certification, in addition to the expansion or reduction of certificate scopes, are also described within this agreement.

Certificate Validity
End users or readers who are in receipt of certificate awards issued by Palindrome Technologies can determine the validity of the artifact and status of certification by accessing the public certificate directory. -
Certification Marks
The use of the certification body’s seal and accreditation marks are strictly controlled, and permissions governing their use may be limited or withdrawn at any time without notice. The certification body’s seal is not to be used in individual email signatures, business cards, or any print or digital forms that may allude to a misrepresentation of the certified scope.
Permissible modification or alteration to the certification body’s seal is limited to the size of the graphic only. Changes to accreditation marks must be approved by the mark’s owner and are required to comply with any external branding guidelines published by the affected oversight organization.
Use of the logo and short name of the International Organization for Standardization (ISO®) is not permitted by any certified organization as a result of that entity’s relationship with Palindrome Technologies Certification.
Logos and marks may only be applied while the certificate is in good standing per the public certificate directory. For any suspended or revoked certificates, the associated seal or marks are not permitted for use in advertisement or digital media. If the agreement between the certification body and the certified organization is terminated, all permissions relating to the use of the certification body’s seal and accreditation marks are withdrawn and the use of these identifiers is required to be amended at the earliest reasonable opportunity.

Decision Process
Certificate decisions are facilitated by a centralized team (Certification Body) of subject matter experts who review each audit file for conformity to the internal quality system maintained by the certification body and normative references made applicable via the management system’s or product's certification body accreditation.
A summary of the procedures performed, and the objective evidence inspected as part of our examination is communicated in an audit report at each assessment’s conclusion. The report is accompanied by a recommendation from the appointed lead auditor who performed certification activities under the oversight of the accredited certification body.

File a Complaint
A complaint is a formal record of dissatisfaction by any user affected by a certified management system as verified by the certification body. Complaints can be received in various forms, including, but not limited to, the form below, mail, email, and verbal notification.
In case Palindrome Certification receives a complaint pertaining to a certification client regardless of its current status of conformity, for any management system(s) under review by the certification body, the Palindrome Certification management team will compile all submitted information and initiate a case review. The management team will serve as the authority on all inbound complaints and follow-up handling processes. Additionally, the management team will prevent any individuals on the audit team supporting the client organization from providing input into the activities workflow.
Palindrome Certification’s management team may determine that a complaint is related to an inquiry of a certificate status for a certified management system or product, maintained by the certification body, where public lookup was not accessible or properly functioning via the Palindrome Certification certificate directory. If the submission conforms to this definition for an inquiry, the complaint handling process is terminated upon response to the requesting party.
Where a certified client is the subject of a complaint, a Palindrome Certification management team representative will promptly communicate these actions to the certified client within an appropriate timeframe while maintaining the integrity of any ongoing investigations.
Where inbound information received for a complaint is insufficient for the certification body to evaluate via further inspection, a Palindrome Certification management team representative will follow up with the complainant to retrieve additional information or clarification, where appropriate.
In extenuating circumstances where the result of a complaint leads to the modification of a conformity decision for a management system, a member of the Palindrome Certification management team may determine the need to publicize these actions. In this case, the certification body will seek input from the certified client and affected complainant, as appropriate, prior to disseminating information on the basis of confidentiality and local laws governing public disclosure of events.
Once the decision regarding a complaint has been made, no counterclaim by either party in dispute can be executed to amend or change this decision unless additional, relevant supporting documentation is provided for review. Where similar complaints are received, the Palindrome Certification management team will consider results of historical cases that have determined precedents when handling particular matters.

Impartiality
As part of our commitment to higher industry standards, impartiality is at the cornerstone with our applicants and certified organization relationships, Palindrome Certification manages neutrality on an individual staff auditor level and on an account level to ensure objectivity across all assessment activities. Palindrome Certification has also established an independent external committee to review the effectiveness of these controls. The committee has the authority to make decisions affecting the business to safeguard against the compromise of impartiality, such as by actions of self-interest, self-review, familiarity, or intimidation. -
Maintaining Certification
Maintaining certification is based on the successful outcome of annual surveillance audits. Our role is to verify that the organization continues to fulfill AIMS requirements, effectively manages changes in its AI environment, and addresses any minor non-conformities identified previously. As long as the audit evidence confirms the system's ongoing effectiveness and the organization’s commitment to the standard, we issue a formal decision to uphold the validity of the existing certificate. -
Request an Appeal
You may request reconsideration of a decision made by Palindrome Certification for reasons concerning incompetent or prejudice assessment results, including disagreements pertaining to audit findings, severity classifications, assessment approach, and enforced deadlines.
Notification of the intention to appeal could be supported by relevant facts or data for consideration during the appeals evaluation.
Possible methods to receive an appeal could include, but are not limited to, the following: the form below, email communication, verbal notification, or commentary provided within customer satisfaction survey. The certification body's management team should seek out the following information, where appropriate, to assess the nature of the appeal:
- The name of the appellant
- Contact details for the appellant
- The application, audit, certification decision that is the subject of the appeal
- Description of the appeal
Individuals involved with evaluating an appeals case should not comprise the affected audit cycle assessment team composition. The results of the appeals process will not affect any relationships between the client organization and the certification body, especially for actions that would be considered preferential or biased in nature.
Once the decision regarding an appeal is made, no counterclaim by either party in dispute can be executed to amend or change this decision unless additional, relevant supporting documentation is provided for review. Where similar appeals are received, the Palindrome Certification management team will consider results of historical cases that have determined precedents when handling particular matters. In instances where the appeal was successful and the certificate is issued or reinstated; no claim can be made against Palindrome Certification for reimbursement of costs or other losses incurred as a result of withholding, suspension, or withdrawal notification.

Refusing Certification
When our technical review of the initial Stage 2 audit evidence reveals that an organization’s AIMS fails to demonstrate effective control over its AI risks or lacks the necessary governance frameworks required by ISO/IEC 42001, we formally refuse certification. Per ISO/IEC 17021-1, we provide a detailed justification for this refusal. The organization must resolve all major non-conformities and demonstrate a stable, functioning management system before a new certification decision can be considered. -
Renewing Certification
Upon the completion of a three-year certification cycle, we conduct a comprehensive recertification audit to decide on renewing certification. This process involves a full review of the AIMS performance over the entire cycle, including its ability to adapt to evolving AI technologies. We renew the certificate only when the organization demonstrates a mature, continuously improving management system that remains fully compliant with the ISO/IEC 42001 requirements. -
Restoring Certification
Our decision to restore certification is contingent upon the organization successfully remediating the issues that led to the suspension. We conduct a targeted verification—often through an on-site or remote audit—to confirm that the AIMS has been brought back into full compliance with ISO/IEC 42001. Once the evidence is validated by our decision-making authority, the suspension is lifted, and the organization’s status is updated to "certified" in our public registry. -
Scope Augmentation
In cases where a certified client requests scope augmentation to include new AI applications, specialized machine learning models, or additional business units under their certification, we perform a scope extension audit. Our decision to expand the certification is based on evidence that these new elements are fully integrated into the existing AIMS and meet all ISO/IEC 42001 controls. If verified, we issue a revised certificate clearly defining the newly augmented scope of operations. Similarity, we issue a decision to reduce the scope of certification when an organization choses to eliminate systems or locations form the existing scope, or can no longer demonstrate that specific AI systems, business units, or geographical locations meet the requirements of ISO/IEC 42001. This typically occurs during a surveillance or recertification audit if we find that a particular AI application has been discontinued, or if a specific department has consistently failed to address major non-conformities while the rest of the organization remains compliant. -
Suspensions
Palindrome Certification reserves the right to suspend certificates of its clients at any time due to situations involving, but not limited to, violations to the certificate agreement, negligence, concealment of material facts, non-conformance to the underlying audit criteria, investigations, complaints, and unpaid invoices for services rendered. Certification is invalidated at any point within a suspension period. All suspensions are clearly labeled within the affected certificate entry available in the public certificate directory. -
Withdrawing Certification
Withdrawing certification is our final administrative action when an organization fails to resolve the issues leading to suspension within the maximum allowed timeframe (usually six months) or is in significant breach of the certification agreement. This decision results in the permanent cancellation of the certificate. Per the standard, once a certificate is withdrawn, the organization must cease all claims of ISO/IEC 42001 certification; any future certification would require a completely new initial audit process.

Readiness assessment
Optional readiness assessments are delivered against the corresponding certification requirements, comprising either the ISO/IEC 42001, ISA 62443 or IEEE 2621 standards. We appoint a lead auditor who facilitates the readiness assessment and provides the necessary guidance and knowledge transfer to your organization in preparation for a certification audit.
For organizations that have not been previously certified to a specific international standard or accredited scheme, the initial certification audit is comprised by two stages that assess the management system design and operating effectiveness prior to a decision on certificate issuance.
Stage 1 Audit: System Design evaluation
This initial audit is performed at your office and aims in determining if your governance program is ready to undergo the full inspection in stage 2. This review evaluates the establishment of the management system and risk analysis to determine the scope.
Stage 2: Operating effectiveness and conformity audit
This stage focus on performing in-depth testing to determine whether your management system has been implemented appropriately and establishes necessary safeguards for ongoing monitoring and improvement. The certification body will determine any nonconformities within the system and require correction. Once all non-conformities are sufficiently corrected, the certification body may decide to issue certification for the scope.
Surveillance audit
Certification is valid for three years. Annual surveillance audits are required during the second and third years following initial certification or recertification. During these audits, broad-stroke reviews are conducted to determine if any significant or relevant changes have been made to the management system. Limited testing is performed to confirm that your organization is continuing to maintain the requirements of the underlying audit criteria between audit periods.
Recertification
To ensure continuity of management system certification, recertification audits are performed by the certification body before the three-year term expires. Audit scope builds upon improvements and audit trails established during the previous certification cycle and includes more in-depth inspections than surveillance assessments.
